When a family death makes tonight's shift or tomorrow's work impossible, you can begin contacting the appropriate workplace contact before the funeral schedule and supporting documents are complete. Separate whom to contact, which assignment is affected, and when you expect to provide an update.
This guide focuses on adjusting scheduled shifts and overnight work. For relationships covered by a policy and general day-counting questions, use our separate ceremonial and bereavement leave guide.
Leave entitlement and affected shifts are different questions
Bereavement leave may operate as part of company ceremonial leave. The MHLW special-leave information describes company-established arrangements outside statutory leave requirements. There is no nationwide fixed allowance for the death of, for example, a grandmother.
Check the applicable relationship, number of days, pay treatment, and starting point under your employer's rules. Then ask HR or the scheduler which assignments those days cover. A statement that a policy provides three days does not by itself establish how many overnight shifts can be missed.
Identify the shift by its starting date and time
In a shift workplace, your usual manager may be off duty. Check the designated urgent contact, duty manager, or scheduling contact, including the route to use when the first contact does not respond.
Your first message can cover:
- Your relationship to the deceased.
- The starting date and time of the shift you cannot attend.
- Whether funeral and travel arrangements are confirmed.
- Your current estimate of the absence and an expected update method or time.
“Tomorrow” may be ambiguous for an assignment crossing midnight. Use the roster's shift name or start and finish times. You do not need to circulate detailed family circumstances throughout the workplace.
Four scheduling situations
This editorial table helps organize a discussion. It does not replace company leave or approval procedures.
Situation | Initial information | A useful confirmation |
|---|---|---|
Next month's roster is not final | Known funeral and travel plans | Who receives availability information and later updates? |
Tonight's shift is already assigned | The affected shift and inability to attend | Who handles leave approval and roster changes? |
News arrives during a shift | Need to discuss leaving or being relieved | What safe handover and attendance process applies? |
A longer absence becomes necessary | What changed and the revised estimate | Which leave category, pay treatment, and application process apply to extra days? |
Telling a colleague about the situation differs from applying through an authorized contact. Rather than delaying the initial report until you have found a replacement yourself, tell the responsible person that scheduling support is needed.
An overnight shift needs two separate checks
In a fictional example, A is scheduled from 20:00 on November 10 to 08:00 on November 11. A receives news of a family death on the evening of November 10, before funeral arrangements are settled.
A identifies “the night shift starting at 20:00 on November 10 and scheduled to finish at 08:00 on November 11.” A then asks separately how leave days are counted under the policy and which dates or categories should be entered in the attendance system. These times identify the assignment; they do not establish leave entitlement, breaks, or actual working hours.
Do not assume that crossing two dates means using two leave days, or that one overnight assignment must always use one day. Also check the next scheduled assignment rather than assuming that time after an overnight shift has the same status as a company holiday or leave day.
A sample message while dates remain uncertain
“There has been a death in my family, and I need to miss the shift starting at 20:00 on November 10 and scheduled to finish at 08:00 on November 11. Funeral and travel arrangements are not yet confirmed, so I cannot confirm availability for later shifts. Please explain the bereavement-leave application and roster-change process. I expect to provide an update through this contact around [date/time], once arrangements become clearer.”
This is a fictional example. Explain if responding or handing over work is difficult. Avoid promising constant availability; discuss a workable contact method and time. When plans change, retain the earlier message and add the revised estimate so the change is clear.
Before returning, reconcile the roster and attendance record
Confirm the next start time, assignment, and roster entry when you can estimate your return. Scheduling may have changed during your absence, so do not rely only on the original roster.
Afterward, compare the approved period with attendance categories and pay treatment. The ministry's model work rules are examples for workplace rules, rather than your employer's approval. If you need additional time or question an employment-status difference, ask which conditions and reasons apply. The ministry's material on ceremonial-leave treatment differences is another reference.
Questions when choosing a shift-based workplace
Ask about nighttime absence contacts, who arranges urgent cover, and how the next assignment is confirmed after leave. You can ask about processes without requesting another employee's private family history.
