A job offer acceptance form, called a naitei shodakusho in Japan, communicates your intention to join the employer. When you receive it, check the conditions you will accept and the deadline, then complete the employee fields and submit it using the designated method.

An employer may use a name such as nyusha shodakusho or nyusha seiyakusho. Some documents combine acceptance of conditions with promises about conduct after joining. Prioritize the actual text and referenced documents over the title.

Establish what you are accepting before submitting

If the wording says you accept employment under the presented conditions, identify the date and version of those conditions. Ask the employer about unresolved questions regarding pay, starting date, or workplace before signing. Our working conditions notice guide can help with that review.

Do not assume that an employment contract cannot exist until an acceptance form has been submitted. Japan's Ministry of Health, Labour and Welfare explains circumstances in which a contract may be formed at the offer stage. Confirm your intention to join and the substance of your agreement before submitting a form just to complete the paperwork.

How to complete each employee field

1. Check the addressee against the instructions

If the company and representative's names are printed, confirm that the form belongs to the correct employer. If you must enter an addressee, use the formal name provided in the instructions. A form addressed to the representative may still need to be sent to an HR contact.

You do not need to independently add titles or honorifics to printed wording. Ask the recruitment contact if the delivery recipient is unclear.

2. Match your name and address with your onboarding information

Enter your name in the required format. Check additional employee fields such as phonetic spelling, postcode, and contact information.

If you plan to move, ask whether the form requires your current address or the address you will use after joining. If you use a previous surname or have changed your name, ask how application records and company registration will be matched. Avoid entering an address that is still undecided.

3. Distinguish the signature date from the starting date

Check whether the date field asks for the signature date or a date specified by the employer. If there is a separate starting-date field, complete each according to its purpose.

Do not backdate an unspecified field simply to match the offer letter's issue date. If unsure, ask whether to use the day you actually complete and sign the form.

4. Follow the signature and seal instructions

Check whether handwriting, typed input, or a seal is required. Do not assume every acceptance form requires a registered seal or seal registration certificate. If the type of seal is unspecified, ask HR.

For an electronic procedure, follow the service and employer's instructions for entering your name, signing, and confirming agreement. Adding an image of a seal does not necessarily complete submission.

5. Check blank fields, selections, and corrections

Distinguish employee fields from employer verification fields. If there is an acceptance checkbox, read the options and do not submit an unchanged default without understanding it.

For an error, check whether a replacement form, new input, or correction line is required. Discuss changes to the acceptance wording separately from fixing a typo. Do not add conditions without agreement and treat them as accepted by the employer.

These fictional examples explain field meanings; they are not a completed template to transfer unchanged into an employer's form. If the employer specifies another method, confirm it with the responsible contact and follow the instructions.

Replace dates and addresses with actual information. Save the acceptance wording together with the referenced conditions before signing so that you can compare them later.

Submitting paper, PDF, and electronic forms

Mailing a paper original

Confirm the address, department, accompanying documents, and deadline. A requirement for arrival by a date, a postmark deadline, and a response deadline may require different schedules. Ask if the instructions are unclear.

Keep a copy and consider a delivery method that lets you check progress when needed. A particular postal service is not universally mandatory; follow any employer requirement. Posting the form does not, by itself, establish that it has been received.

Submitting a PDF or image

Check whether PDF submission completes the procedure or an original must follow. When scanning or photographing, check that every page, the signature field, and the text are readable and nothing is cut off.

Use the specified channel, such as email or a recruitment system. Follow file-name, format, and size requirements. Check attachments and recipients before sending, and avoid public sharing links for signed documents containing your address or contact details.

Using an electronic signature service

Verify that the invitation is from the employer's official process, read the document and conditions, and follow the steps. Identify the final confirmation, completion notice, and download procedure for your copy.

Typing your name without completing the final step may leave the submission unfinished. Check the completion screen, email, and saved document. If the employer's receipt remains unclear, ask the responsible contact.

After submission, distinguish sending from receipt

Record the date, method, and version of the document you submitted. Check the appropriate evidence: a recruitment system's completion status, employer acknowledgment, or delivery record.

If the employer has explained when an acknowledgment will arrive, allow for that schedule. If the deadline is near and receipt is uncertain, provide the submission date and method and ask whether anything is missing. Verify the correct channel before sending duplicate copies through multiple routes.

If your starting date changes, discuss the new date and any repeat procedure with the employer rather than merely altering your own retained copy.

Frequently asked questions

Can I ask to extend the response deadline before submitting?

An extension is not guaranteed. Before the deadline, explain the points you need to clarify, when you expect to respond, and the extension requested. Distinguish asking for an extension from receiving approval.

If I sent an acceptance email, can I omit the form?

If the employer requests a form, do not treat an email alone as completion. Check which steps the responsible contact requires.

Can I withdraw after submitting an acceptance form?

Completing an offer acceptance form continues from accurate entries through confirmation of receipt. Resolve questions first, and keep the conditions you accepted together with the document you submitted.
