A marketing dashboard should help a team make a decision. Start with its users and questions, then agree on metric definitions and data ownership before building charts. A dense screen of available metrics rarely serves every role well.
Design a view for each decision
User | Question | Useful content |
|---|---|---|
Leadership | Will we hit the plan, and should funding move? | Target, actual, forecast, variance and material risk |
Acquisition team | Which source needs improvement? | Spend, qualified outcomes, CPA and opportunity rate |
Content team | Which page or message needs work? | Visits, behavior, outcomes and change dates |
Sales coordination | Are leads accepted and followed up? | Acceptance, response time, deal stage and loss reasons |
Let the leadership view lead into diagnostic detail. This preserves a concise review while giving operators the evidence needed to investigate.
A worked review layout
This hypothetical monthly view places the result at the top, drivers beneath it and the next action at the bottom.
Measure | Plan | Actual / forecast | Decision |
|---|---|---|---|
Qualified opportunities | 80 | 40 actual; 70 forecast | Inspect opportunity conversion by source |
Spending | $10,000 | $3,900 actual; $10,000 forecast | Include $2,500 of unrecorded commitments |
Follow-up | Close the opportunity gap | Investigate unqualified demand | Acquisition owner reports findings on Friday |
Being within budget does not mean outcomes are on track. Show outcome progress separately from budget consumption and explain what a variance means instead of relying on red or green alone.
Build a metric dictionary
Field | Example |
|---|---|
Name and formula | Qualified opportunities, deduplicated after sales acceptance |
Source and grain | CRM; one record per opportunity |
Date and scope | Acceptance date; new customers, excluding renewals |
Refresh and owner | Each business day; sales operations |
Quality rule | Check ingestion completeness, missing records and reversals |
Joining a daily campaign-spend table directly to individual opportunities can multiply spending. Aggregate to compatible grain before joining, then reconcile totals before and after the join.
Validate before people rely on the view
- Align currency, tax treatment, time zones and reporting windows.
- Keep missing values separate from zero and display freshness dates.
- Use order or CRM records for business totals rather than adding platform conversions.
- Calculate aggregate rates from the appropriate summed numerator and denominator, not a simple average of row rates.
- Apply appropriate access and avoid unnecessary personal information.
Choose tools by responsibility
Data Studio, formerly Looker Studio, and other BI tools support visualization. Check connectors, refresh needs, sharing and the person who will maintain calculations. A spreadsheet can be a useful first version when scope is small.
Budget approval and project ownership require management workflows as well as charts. Xtrategy features describes budget and portfolio capabilities. Confirm any required external-data integration separately rather than assuming every tool collects advertising data automatically.
Keep the dashboard in the operating routine
Review the gap, data issues, explanations to test and next action in that order. Retire unused charts. Record changes to definitions so a break in measurement is not mistaken for a business trend. Every action should have an owner and a review date.
