For annual paid leave, a brief reason such as “personal reasons” is generally sufficient. How you use annual leave—for rest, travel, an appointment, or another personal purpose—is generally your choice. You do not need to invent an exceptional reason to make the request seem deserving.

The detail of your private reason is separate from notifying the employer of the date and arranging necessary work communication. This guide concerns annual paid leave for private-sector employees in Japan. Public-service leave and company special-leave schemes have their own rules.

Separate private details from information needed for work

Make the date and requested unit clear even when you keep the reason brief. Follow the application process and specify whether you want a whole day, half day, or hours. Availability of half-day or hourly use depends on the applicable system and requirements.

Describe arrangements actually made

Use the annual paid leave guide for entitlement and balances, and the application deadline guide for timing. What to write in the reason field and when to apply are different questions.

Example requests

Keeping the purpose private

“I will take annual paid leave on [date] for personal reasons. I will share progress on project A and prepare outstanding points by the previous day.”

For a reason field alone, “personal reasons” can be enough. Do not say a handover is complete when it still needs arranging; identify the matter to discuss with your manager.

Voluntarily mentioning an appointment

“I will take a full day of annual paid leave on [date] for a medical appointment. I will be unavailable for work messages that day, so I would like to agree beforehand who will handle urgent matters.”

Mentioning an appointment is an option if you are comfortable sharing it. It does not generally mean you must put a diagnosis or test details in an annual-leave reason field. Nor must your request promise continuous availability for work during leave.

Family matters or a job interview

“I would like to take annual paid leave on [date] for personal reasons. I will circulate the meeting materials by the previous day.”

You normally do not need to volunteer family circumstances or job-search details in this field. Use a brief truthful description rather than inventing an illness or bereavement. Keep interview arrangements separate from work communication and respect rules concerning workplace information and devices.

If someone asks for specifics

Question

Possible reply

What exactly are you doing?

“It is a personal matter, so please record the reason as personal. I can discuss any work arrangements needed.”

Could you do it on a day off?

“I would like to use [date]. Please let me know which work arrangements need attention.”

Who will handle your work?

“I can share the project materials. I would like to agree the allocation with my manager.”

You need supporting documents

“Please clarify which annual-leave procedure requires the information and what is needed.”

Not every question is automatically unlawful. Particularly with short-notice or extended consecutive leave, circumstances relevant to work arrangements or the employer's right to change the timing may need clarification. If the need for private information is unclear, ask HR about its purpose, recipient, and necessary scope.

If the purpose is treated as unacceptable

Rejecting annual leave simply because it is for travel or rest conflicts with the general freedom to choose its purpose. Separately, the employer may change the timing where taking leave then would prevent normal business operations. Do not stop at a vague “we are busy”; ask what work would be affected and how.

For example: “Is the issue the private purpose of the leave, or a proposed timing change because of a specific operational difficulty? Please explain the details.” Keep the date, application, and reply for a later discussion with HR or a public advice service.

This does not guarantee that every same-day request must be accepted or permit ignoring application procedures. If unresolved, take the workplace rules and correspondence to a General Labour Consultation Corner or Labour Standards Inspection Office.

Do not confuse annual leave with special leave

Marriage, bereavement, or company sick-leave schemes may require documents to establish a qualifying event. Child nursing and related leave also has different eligibility conditions. The informal expression “paid time off” does not identify the scheme by itself.

Confirm its formal name and separate the annual-leave reason field from the eligibility requirements of another scheme. The leave selection guide explains the main distinctions.

When considering a new employer, ask which application fields are required, who arranges cover, and whom to contact for unexpected requests. The work trial and job-change guide can help connect the written scheme with its explanation in practice.
