Kekkin generally means missing scheduled work without the day being treated as paid annual leave or another applicable leave category. The employer's timekeeping terminology may vary. Before assuming every missed day is an absence, separate the reason, available leave arrangements, and pay treatment.
Absence, leave, suspension of work, and leave of absence
Category | Basic meaning | What to check |
|---|---|---|
Absence, or kekkin | Missing scheduled work without another applicable leave classification | Reporting requirements and wage deduction rules |
Leave, or kyuka | Time off from a working day under a leave arrangement | Eligibility and whether it is paid |
Kyugyo | A period away from work for different statutory or operational reasons | The scheme or cause, such as childcare leave or employer-caused closure |
Leave of absence, or kyushoku | A period not working while the employment relationship continues under an applicable company scheme | Grounds, application, duration, and return conditions |
A scheduled day off is not normally an absence merely because you did not attend. Time you could not work because of the employer's circumstances also should not automatically be recorded as a personal absence. Establish what happened rather than relying only on the label.
Report an unexpected absence through the required channel
Where possible, notify the designated person before your shift using the employer's required method. If circumstances prevented earlier contact, explain the situation as soon as you can communicate.
Provide the fact that you cannot attend, the reason to the extent necessary for work arrangements, expected duration, urgent handover needs, and the next time you can update the employer. If your return date is uncertain, give an update time rather than promising a recovery date.
For example: “I am unwell and unable to work today. Please confirm whether [colleague] can take over [urgent task]. I will update you about tomorrow's attendance by [time] today.” Adapt the message to the actual circumstances and company procedure.
Reporting and completing a leave application are different
Unauthorized or unreported absence generally involves missing work without the required communication or procedure. Messages can go to the wrong contact, remain unread, or leave a required form outstanding. Keep a record and confirm who must receive notice.
Telling a colleague you are away does not necessarily complete a leave request. Ask whether an absence form, leave application, or medical certificate is needed. There is no single company procedure nationwide for how many days trigger a certificate requirement; check the purpose and necessary information.
What happens to pay?
The general starting point is no wages for the days or hours not worked. Company rules may provide paid sick leave or a monthly salary arrangement without an absence deduction. Monthly pay therefore does not automatically guarantee full payment or establish a universal “monthly salary divided by 30” calculation.
Check the days or hours deducted, wage items included, calculation denominator, and allowance conditions. The guide to pay during leave of absence and absence deductions covers that calculation issue in more depth.
Separate unpaid time from disciplinary reductions
Not paying for time not worked is different from reducing wages as a disciplinary penalty. A disciplinary reduction needs an appropriate basis, including company rules. Statutory limits generally cap one reduction at half of one day's average wages and the total at one tenth of wages for a wage-payment period. Staying below those limits does not automatically make every sanction valid.
If the payslip contains several reductions, ask which relate to unpaid time, allowance eligibility, or disciplinary action, and request the basis and breakdown.
Can you keep annual leave unused?
Sickness does not automatically turn a day into paid annual leave. Confirm the employee request and required procedure. If you want to preserve annual leave, ask whether unpaid absence or a company sick-leave scheme is available, including the pay and attendance classification.
There is no automatic right to convert a completed absence into annual leave afterward. Annual leave is normally requested in advance; retrospective conversion depends on arrangements such as agreement between employer and employee. See the paid annual leave guide for the underlying entitlement and application process.
Assessment and repeated absence
Effects on bonuses or assessment depend on the applicable rules and circumstances. Statutorily protected leave, including annual leave, cannot simply be treated in the same adverse way as ordinary absence. Ask which rule and assessment item the employer applied if the explanation is unclear.
An instruction from the employer to stay away also needs separate analysis. Where work is suspended for reasons attributable to the employer, an allowance of at least 60% of average wages may be required.
If absence is likely to continue, ask early whether the company's leave-of-absence scheme applies. One missed day does not automatically place you on long-term leave or establish dismissal. Keep reporting records, attendance information, and payslips. A Labour Standards Inspection Office or General Labour Consultation Corner can help when questions about wages or sanctions remain unresolved.
