A sales outsourcing estimate should separate target companies, outreach attempts and meetings. Contacting one company twice involves one target company and two attempts. Neither number tells you how many meetings will result.

Start by deciding who should be contacted, what can be said and when a response should move to your internal sales team. Then compare execution, list building, messaging, records and reporting. A quote becomes useful when it describes the work and the handover, rather than relying on an undefined promise of “leads.”

Keep three quantities separate

Target companies describes the list. Define duplicate handling and exclusions. Outreach attempts describes one contact to one company. Clarify how repeated attempts, failed delivery and unavailable recipients are counted. Meetings needs its own definition, such as the relevant contact, stated interest, agreed time and treatment of cancellations.

A reply, a request for material, a meeting being scheduled and a completed meeting are also different stages. If a proposal uses the word “result,” ask what qualifies and how both parties will verify it. Avoid comparing an activity-based scope with a meeting-based offer as if the units were identical.

Define the audience and message before execution

Describe the industry, company conditions, relevant department and problem your service addresses. Include existing customers or other companies that should be excluded. A broader list is not automatically better; it needs to match the service you can deliver and the internal team’s ability to respond.

Prepare an accurate service explanation, usable examples and answers to common questions. State which claims about price, delivery or availability require internal confirmation. Agree an approval process before contact begins, including the conditions of the chosen communication method and how recipient preferences are handled.

Separate the work behind the price

List building

Distinguish a list supplied by your company from one a supplier must create. Specify the fields needed, such as company, relevant public contact information and evidence that the company meets the target conditions. Agree how duplicates and unsuitable records are corrected and who maintains the list afterward.

Contact execution

Individual email and telephone outreach need different preparation and records. Define the period, contact windows, repeat-contact rules and how replies move to your team. Ask how failed delivery or unavailable contacts affect the count. Do not treat a bulk distribution and individually handled contact as the same service.

Messaging and preparation

Supplying a finished message differs from asking for planning and message development. Prepare company information, approved responses, escalation routes and a clear way to end contact after a refusal. Decide whether revisions based on feedback are included in the first project or form part of ongoing improvement.

Records and analysis

A basic activity log differs from detailed analysis of responses. Separate attempts, successful contact, replies, interest and meetings. Record reasons only where they are known. With small numbers, review the actual counts and target conditions instead of highlighting a large percentage based on a few responses.

Outside services

Identify confirmed list, software or other external service charges separately from support fees. State who contracts and pays. Leave unconfirmed costs open for review rather than filling them with an unsupported market average. Make sure the period used for expenses matches the project being quoted.

Design the internal handover

Outsourced contact does not remove the need for internal response capacity. Name the person who receives replies, the notification route, the response expectation and the process for arranging meetings or sending material. Include handling for existing customers and inquiries outside the intended scope.

Agree how refusal, stop requests and complaints update the records. The same company should not keep receiving an unchanged approach because the supplier and internal team use different lists. Define who updates exclusions and how the change is confirmed. Share personal information and sales records only within agreed internal procedures and channel conditions.

Two briefs with different boundaries

Example A: execute an approved approach. Your company supplies the list and message, and names the internal response owner. The quote focuses on contact attempts, method, records and exclusion updates. It does not automatically include building a new list or redesigning the sales strategy.

Example B: explore a new target group. The company needs help defining criteria, developing the explanation, building a list and analyzing responses. Start with an agreed scope and review what the activity actually reveals. Set a point for changing the conditions, rather than assuming a fixed meeting outcome before testing the approach.

Prepare a request that suppliers can compare

  1. Describe target companies, departments, problems and exclusions.
  2. Separate company count, attempt count, channel and timing.
  3. Specify list ownership, creation responsibilities and required fields.
  4. Provide service material and rules for questions needing escalation.
  5. Name the reply owner, handover conditions and record system.
  6. Agree expense handling, report depth and change or stop procedures.

Compare proposals against the same conditions. More attempts can mean a larger workload without representing a better fit. A smaller activity plan with a clear target, usable records and an available sales team may be more appropriate for the question you are trying to answer.

Common questions

Should I choose the proposal with the most contact attempts?

Consider targeting, method, records and your response capacity together. More activity does not guarantee suitable meetings. Check whether each proposal contains the work needed for the same defined audience.

What if “qualified meeting” is unclear?

Write down the contact role, interest, scheduling and completion requirements. If considering a result-based arrangement, separately confirm duplicate, cancellation and exclusion rules. Never infer those terms from an activity estimate.

Check an estimate by attempts and method

Ficilcom’s sales support simulator organizes support scope, outreach attempts, individual email or telephone, companies to be included in list building, detailed analysis and confirmed outside service expenses. One attempt means one contact to one company; it is not a promised meeting. List-building count is also separate from contact frequency.

Check outreach, list-building and reporting scope

For managing responses and handovers, read the MA/CRM guide. If buyer decisions are still unclear, start with the research guide.
