When you take paid annual leave in Japan, wages are generally still paid. Paid leave is not unpaid time off—it is a statutory paid absence.
This article explains three common ways to calculate one day of paid leave and what to check on your payslip.
Under the Labor Standards Act, paid leave wages are generally calculated using "average wage": total wages paid in the three months before the leave date divided by total days in that period.
In practice, many companies pay ordinary wages for scheduled working hours under work rules, which is simpler to calculate.
For monthly salaried employees with calendar-based scheduled days, one day is often calculated as monthly salary ÷ scheduled workdays that month. Overtime and commuting allowances are usually excluded.
For daily wages, one paid leave day equals one day's scheduled wage. If daily pay varies by shift, the scheduled wage for the leave date applies.
For hourly workers, one day is typically hourly rate × scheduled hours that day. Three days a week at 4 hours means one paid leave day pays for 4 hours.
For half-day (0.5 day) or hourly paid leave, divide one day's wage by scheduled hours. With an 8-hour day, half-day leave pays for 4 hours.
Hourly paid leave allows up to five days per year in hour units. With 8-hour days, that means up to 40 hours annually.
If there is no paid leave line item and no absence deduction, wages may already be included in regular pay. Ask payroll if unsure.
If calculated correctly, take-home pay should not drop. A decrease may mean leave was treated as an unpaid absence.
Bonuses are generally excluded from average wage. Payment timing may affect some cases—confirm your company's method.
Wage calculation while employed is the same. Cash settlement of unused leave at resignation may use a different average-wage method.
Wages are generally paid on paid leave days. Methods differ for monthly, daily, and hourly pay, but all are based on scheduled work for that day. If payslip details are unclear, contact HR early.
